Image-X developed an interactive digital
version of the ordinary paper form providing an abundance
of unique capabilities. Forms are an essential part of communication.
They are the lifeblood to a variety of industries regardless
of size, profession, trade or production. Forms are the only
feasible method known to date for the concrete documentation
of transactions. They are specifically designed for the collection
of information necessary to a specific department. Because
of the considerable magnitude of today’s well-run departments,
the workflow for these forms has become intricate and confusing.
The sheer volume of these paper forms has potential to stop
a corporation in its tracks without the inclusion of a complicated
workflow. The solution to this problem is one that simplifies
the system without changing any requirements. Interactive
forms are the most efficient solution for they allow us to
convert the same exact form from a paper to a digital format.
The actual format is exactly the same, however now it is equipped
with a profusion of characteristics. Interactive forms allow
us to create data in an XML format while using the same exact
XML workflow engine to route the data, eliminating the intricate
physical interchange of paper forms. For you to better understand
the idea, the figure below describes a working example of
a system recently implemented by Image-X for the Department
of Transportation. The figure represents the complicated workflow
for the multi page transfer of property form.

After evaluating the figure on the previous page one comes
to one conclusion: the workflow for the TOP form is exceedingly
complicated and extremely convoluted. The form has to be accepted
by five different departments before the transfer is approved!
If one department declines the form, than the cycle repeats
until the form gets the approval from each department.
Besides the obvious intricate workflow, the Department of
Transportation had a few other problems. First the process
was convoluted and slow with lots of room for misplacement,
deterioration and disorganization. Second the department was
wasting resources due to time delay and data entry. Third
Oregon’s DOT was losing money. To illustrate this lets
say for example that you had a machine in inventory that is
worth $50,000. While the machine is sitting in inventory it
is accumulating interest, let’s suppose 10%. Therefore
it would accumulate $5000 in interest a year, $416 per month
and $60 per day! This was a great dilemma for Oregon for they
were losing money every day due to their convoluted process.
Image-X solved their problems by digitally
integrating our X-Forms technology to their
present workflow. The idea here is simple: complete system
automation without changing the already established process
and practice. Mangers have their own unique login and access
criteria, thereby allowing quick, secure and confidential
access. Before the process took weeks and now it can be done
in less than a day!
